About QuoteYourClient

QuoteYourClient is quoting software for South African tradesmen. You build a quote from a catalogue of real supplier products, add your own labour and custom items, apply your markup, and send it to your client as a branded PDF. The client opens a link, reviews the quote, and accepts or rejects it without creating an account. When they accept, we generate a purchase order for each supplier whose products are on the quote.

South African tradesmen who quote on materials and labour: electricians, plumbers, builders, and the trades that buy from a supplier and mark up. Suppliers also have their own account type, which they use to publish their product catalogue to the tradesmen who quote from it.

A quote is a priced offer you send before the work starts: what you propose to do, what it will cost, and how long that price holds. An invoice is a request for payment, issued once the work is done. Most jobs produce both, in that order. QuoteYourClient covers the quote and the purchase orders that follow acceptance; you raise the invoice in whatever accounting tool you already use.

Invoicing software helps you bill for work you have already won. QuoteYourClient is aimed at winning it. The difference in practice is the product catalogue: rather than typing line items and prices from memory or a supplier's price list, you search real supplier products with current prices, add them, and let the quote total itself including markup and VAT.

No. You can quote whether or not you are registered for VAT. Totals are VAT-inclusive and prices are in South African rands, and the quote document carries fields for your VAT and company registration numbers when you have them to show.

Plans and billing

Yes, on the Basic plan. It costs nothing, needs no card, and does not expire. It covers 5 quotes a month, 5 custom products, and 10 active clients. Paid plans raise those limits rather than unlocking a product you could not otherwise use.

The Basic plan is free. Base is R149 a month and Premium is R249 a month, both billed monthly in South African rands with no annual commitment. Enterprise is priced on request. What each step up buys is a larger monthly quote allowance and the features that come with it, so the plan you need follows from how many quotes you send.

Higher plans raise your monthly quote allowance, your custom product and client limits, how far back your analytics reach, and which quote templates you can use. Premium and above add white-labelling of the quote document and control over how long your quotes stay open.

No. Plans are billed monthly and you can change or cancel at any time. A change takes effect when you make it rather than at the end of a notice period, and cancelling stops future billing rather than removing anything you have already created.

By card, through Paystack, the payment provider we use for South African card processing. Your card details go to Paystack rather than to us, so we never see or store them. Billing then recurs monthly until you change or cancel the plan.

You are told before you hit it rather than after. The app shows your usage against your plan's allowance as you approach the limit, so an upgrade is a decision you make deliberately rather than a wall you run into mid-quote.

Nothing is deleted. Your quotes, clients, and products stay where they are. Limits apply to what you can add next, not to what you already have.

Quoting

Pick a client, search the product catalogue and add what the job needs, add labour and any custom items of your own, set your markup, and send. The total, including VAT, calculates as you go.

At a minimum: your business details, the client's details, a quote number you can refer back to, a line-by-line breakdown of materials and labour, and a clear total showing VAT. Quotes built here carry all of that by default, including your company registration and VAT numbers, so the details that get left off a handwritten quote are not fields you have to remember.

There is no single right number. It moves with the trade, the size of the job, and how competitive the work is, so it is a commercial decision rather than a rule. What matters more is applying it consistently. You can set a markup per line item or across the whole quote, and the marked-up price shows as you type, so you see the effect on the total before the client does.

That depends on whether you are registered as a VAT vendor with SARS, not on the software. Registered vendors charge VAT and show it on the quote; if you are not registered, you do not. Registration becomes compulsory once your taxable turnover passes the SARS threshold and is voluntary below it, so confirm your own position with your accountant.

From suppliers who publish their catalogue on the platform. You can also add your own custom products, which stay private to your account.

Yes. Revising a quote creates a new version linked to the original, and the client's existing link points at the latest version automatically. You keep the full revision history.

By email, automatically, when you send it. The email carries a link that opens the quote in their browser. They do not need an account or an app.

Yes. The link opens the quote in their browser with accept and reject buttons, and the result reaches you as soon as they choose. There is nothing for them to print, sign, or scan back.

Yes. Every quote has an expiry date, after which the client's link stops accepting a response. You can extend an expiry at any time. On Premium and above you can also set how long your quotes stay open by default.

Yes, on a paid plan. Base sends one automated reminder on an open quote, Premium and Enterprise send up to three. The free plan does not include reminders.

Your business name, address, contact details, and VAT and company registration numbers appear on the document as the issuer. Beyond that you can choose from several quote document templates on every plan, with more templates available on higher plans. Premium and Enterprise can also replace or remove the "Powered by QuoteYourClient" credit on the document.

After the quote

The quote is marked accepted and we generate a purchase order for each supplier whose products appear on it, which you can download as a PDF and send on.

Not yet. QuoteYourClient covers the job from quote through to purchase order. Invoicing is on the roadmap and not available today.

Not yet. Paystack handles your subscription payment to us, not your client's payment to you.

Clients and products

Not currently. Clients are added in the app. Product catalogues can be bulk imported from CSV, but that is a supplier capability rather than a tradesman one.

Archive them. They stop counting against your active client limit and their quote history stays intact. You can restore them later.

Quotes and purchase orders download as PDFs. There is no bulk export of clients or quote data yet.

Access and security

No. QuoteYourClient runs in the browser on a laptop, tablet, or phone. There is no app to download and nothing to keep updated.

With your Google account, or with an email address and password. Either works on any device, and because everything runs in the browser your quotes, clients, and products are the same wherever you sign in.

Not yet. Each account is a single login today. Multiple users per account is a roadmap item, not a current capability.

For suppliers

These answers are for suppliers listing a catalogue, not for tradesmen quoting from one.

It puts your catalogue in front of tradesmen at the moment they are pricing a job. When a tradesman builds a quote, they search products from suppliers on the platform and add yours directly. If the client accepts that quote, we generate a purchase order addressed to you for the items on it.

Bulk import from a CSV, with product images uploaded alongside. Your catalogue stays yours: you control the pricing, and updates you make flow through to every tradesman quoting from it.

Tradesmen with an account on the platform, while they are building quotes. Your catalogue is not a public storefront, and the end client sees your products only as line items on the tradesman's quote, priced at the tradesman's rate rather than yours.

Yes. Each of your locations has its own invite link, which you can share as a link or as a QR code on printed material at a trade counter. A tradesman who signs up through it gets that branch set as their preferred supplier, so your products lead their search results. You can regenerate a location's link at any time, which retires the old one.

Yes. A supplier account can hold multiple locations, each with its own details and its own invite link, and you can archive a location that closes without losing its history.

Nothing today. Supplier accounts are not on the subscription plans described above, which apply to tradesmen.

Not yet. Reporting on how often your products are quoted and how much revenue they contribute is on the roadmap, not something you can see today.
